Before we begin, please take a moment to review the terms below. These guidelines help ensure a smooth experience for everyone involved.

Our Role
Nations Executive Travel works on your behalf to design and arrange your trip using trusted travel partners around the world. We coordinate with airlines, hotels, cruise lines, tour operators, transportation companies, and other suppliers (“Suppliers”).
Because these services are owned and operated by third parties, their individual terms and policies apply to your booking.

What We Ask of You
To help your trip run smoothly, we ask that you:

Provide accurate traveler information, including names exactly as shown on passports or ID.

Review all confirmations, invoices, and documents upon receipt and notify us if anything looks incorrect.

Follow all Supplier payment deadlines.

Stay informed about passport, visa, vaccination, and entry requirements for your destination.

Arrive on time for flights, tours, and pre-scheduled services.
We are always happy to answer questions along the way.
Payments & Agency Fees
Some Suppliers require deposits, while others require full payment at booking. These policies vary and will be shared with you before we confirm arrangements.
Please note:

Agency planning and professional service fees are non-refundable.

Reservations are not guaranteed until payment is received and processed.

Prices may change at any time until final payment is made to the Supplier.
We will always communicate changes promptly.
Changes, Cancellations & Refunds
If you need to change or cancel any part of your trip, just let us know in writing.

Supplier penalties may apply depending on their policies.

Refunds, credits, or vouchers are issued only by the Supplier and follow their rules.

Agency service fees are not refunded if you cancel your trip.
If issues arise, we will advocate for you and assist however we can.
Travel Insurance
Travel insurance is strongly recommended for every trip, as it can protect you from unexpected situations such as:

Trip cancellation or interruption

Travel delays
-
Lost or delayed luggage

Medical emergencies or evacuation

Quarantine or illness during travel
If you decline insurance, you accept financial responsibility for these risks.
Travel Risks & Responsibilities
Travel always includes some level of risk. Weather, transportation delays, illness, natural events, and global conditions may impact your plans. While we will support you throughout your journey, Nations Executive Travel is not liable for events outside our control or for the actions of third-party Suppliers.
Passports, Visas & Entry Requirements
You are responsible for meeting all entry and health requirements for your destination. Many countries require passports to be valid six months beyond your return date.
Please check requirements prior to travel; we are happy to assist with guidance.
Supplier Policies & Service Interruptions
We are not responsible for service decisions or changes made by airlines, hotels, or other Suppliers—for example:

Schedule changes or cancellations

Room or cabin changes

Overbooking
-
Lost luggage
-
Operational decisions made by Suppliers
We will advocate for you when possible and help you navigate next steps.
Pricing & Information Accuracy
We make every effort to provide accurate pricing and information. However, Suppliers may adjust pricing, taxes, fuel surcharges, or availability at any time. If something changes, we will notify you and review your options.
Our Commitment to Your Privacy
Your personal information is used only for planning and confirming your travel arrangements. We do not sell your information to outside marketers.
Acceptance of Terms
By moving forward with your booking, submitting payment, or approving travel plans, you acknowledge that you have read and agree to these Terms & Conditions.
